CONFIRM SHIPMENT - TRANSACTION
Purpose: The purpose of this program is to provide the user the ability to confirm the shipment of each item on a sample transaction. In addition to confirming an item the user has the ability to create a backorder for a sample item that was unable to be shipped.
Screen Display/Options:
- Customer Box: This blue highlighted box displays the following:
- Sample Transaction #
- Date the transaction was entered
- Customer Name
- Rep Name
- Confirmed Shipment Items: This green highlighted box displays all items on the sample transaction that have been previously confirmed.
- Un-Confirmed Items: This section lists all items on the sample transaction that have not been confirmed. The display includes the following:
- Item (read-only)
- Style (read-only)
- Color (read-only)
- Sample Type (read-only)
- Quantity Ordered (read-only)
- Quantity Shipped - The quantity shipped will default to the quantity ordered. The user can alter this field to the true quantity shipped. If the quantity is less than originally shipped the balance will automatically be placed into the 'Quantity on Backorder' field.
- Quantity on Backorder - The quantity on backorder will default to zero, however if the quantity shipped is altered to a number less than originally ordered this field will default to the difference. If there is no need for a backorder the user can change the quantity to zero.
- Cancel (checkbox) - The user should select this checkbox if the item is to be removed from the sample transaction.
- Date Shipped
- Carrier - This field will default to the sample transaction but can be changed by selecting from the drop-down options.
- Shipping Service - This field will default to the sample transaction but can be changed by selecting from the drop-down options.
- Tracking # - The user can enter a tracking # for the shipment.
- Internal Customer Service Notes - The user can enter an internal note for the sample transaction.
Buttons: Not all buttons are visible or selectable at all times. Depending on the step within the confirmation some buttons will not be visible or selectable.
- Confirm - This button is only available on initial entry to this program. Once a sample transaction is confirmed it can not be re-confirmed unless the user leaves the program and re-enters. Selecting 'Confirm' will perform the following:
- Un-Confirmed Items - Based on information entered in the Quantity Shipped, Quantity on Backorder, Cancel (checkbox) the sample transaction items will be processed as either confirmed, backordered, or canceled/removed.
- Date Shipped - The date shipped on each individual item in the 'Un-Confirmed Items' will be set to this date.
- Carrier - The Carrier on the sample transaction will be set to this selection (found on the 'Shipping' tab of the sample transaction).
- Shipping Service - The Shipping Service on the sample transaction will be set to this selection (found on the 'Shipping' tab of the sample transaction).
- Tracking # - A tracking number will be added to the sample transaction (found on the 'Shipping' tab of the sample transaction).
- Internal Customer Service Notes - An Internal Customer Note will be added to the sample transaction (found on the 'Notes' tab of the sample transaction).
- Exit - Selecting 'Exit' will return the user to the 'Confirm Shipment Index' listing. No other processing will occur prior to the user being returned to the index.
- NOTE: After 'confirming' a sample transaction the user must either 'Email' or 'Print' a packing slip before being allowed to Exit the process.
- Email new Packing Slip - This button is only available after 'Confirm' has been selected and processed. There are two options: Email Customer and/or Email Rep. The user must select one or both of the options in order for this button to be selected. If selected an email will be sent to the Customer and/or Rep along with a packing slip representing the confirmed items on the sample transaction. If items were indicated as backordered they will be indicated on the packing slip.
- Print Packing Slip - This button is only available after 'Confirm' has been selected and processed. Selecting this button will open a new browser with the packing slip.
NOTE: When either the 'Email new Packing Slip' or 'Print Packing Slip' are processed a history record is added to the sample transaction. This history record will include the packing slip.
- Confirm - This button is only available on initial entry to this program. Once a sample transaction is confirmed it can not be re-confirmed unless the user leaves the program and re-enters. Selecting 'Confirm' will perform the following:
